Job Description:
We are seeking an Executive Assistant to support the founders with day-to-day administrative coordination, scheduling, communication management, and recurring operational tasks.
This role is designed to remove smaller but high-frequency tasks that interrupt the founders’ workflow and focus. The ideal candidate should be highly organized, responsive, detail-oriented, and comfortable handling ongoing executive support responsibilities with minimal oversight.
The role will primarily focus on inbox management, calendar coordination, meeting scheduling, team follow-ups, presentation support, and general administrative execution. This is not a heavy operations or analytical role. The ideal hire should excel at organization, communication, reliability, and follow-through.
Strong Google Slides and presentation formatting ability is important, as this role will also support deck preparation and presentation coordination.
Key Responsibilities:
Executive & Administrative Support
Manage calendars, scheduling, and meeting coordination for the founders
Coordinate meetings, follow-ups, and scheduling across internal and external stakeholders
Assist with inbox organization and email management
Support recurring administrative and operational tasks
Help maintain organized workflows and task follow-through
Team Coordination & Communication
Coordinate across team members to ensure tasks, meetings, and deliverables remain aligned
Follow up on action items and scheduling needs
Support communication flow between founders and team members
Help reduce operational bottlenecks through proactive coordination
Presentation & Documentation Support
Build, format, and update presentations using Google Slides
Assist with presentation organization, formatting consistency, and visual cleanup
Support preparation of decks, meeting materials, and internal documents
Maintain organized documentation and shared resources
Workflow & Organizational Support
Help prioritize and organize recurring operational tasks
Maintain accurate records, notes, and scheduling visibility
Support lightweight project coordination and administrative follow-through
Assist with general virtual assistant responsibilities as needed
Qualifications:
Required
2+ years of executive assistant, virtual assistant, or administrative support experience
Experience supporting founders, executives, or small business leadership teams
Strong calendar management, scheduling, and inbox coordination experience
Experience coordinating meetings, follow-ups, and team communication
Experience supporting founder-led or fast-growing consumer brands
Strong proficiency with Google Slides and presentation formatting
Strong written communication and organizational skills
High attention to detail and strong follow-through
Ability to manage multiple recurring tasks simultaneously
Comfortable working independently in a remote environment
Strong responsiveness and reliability in day-to-day communication
Preferred
Experience using productivity and task management tools such as Asana, ClickUp, or similar platforms
Familiarity with lightweight project coordination workflows
Experience formatting client-facing presentations or internal business materials
